Tracking Quote Status & Conversion
How to use quote statuses to manage your sales pipeline and track win rates.
Every quote moves through a lifecycle: Draft → Sent → Accepted/Rejected/Expired. Tracking these transitions helps you understand your conversion rate and identify bottlenecks.
Status Workflow
- Draft — you're still editing. The client hasn't seen it yet.
- Sent — shared with the client (via email or portal link). Waiting for their response.
- Accepted — the client said yes. Time to create a job.
- Rejected — the client declined. Review why and adjust for next time.
- Expired — the quote passed its expiry date without a response.
Changing Status
On the quote detail page, use the status dropdown to change the current status. Sending an email automatically changes Draft to Sent. You can also manually set the status at any time.
Filtering by Status
The quotes list page has a status filter dropdown. Use it to see all your sent quotes that are awaiting response, or all accepted quotes that need jobs created.
From Quote to Job
When a quote is accepted, create a job from it. The job is linked to the original quote and inherits the client and line items. This keeps your pipeline clean — you can see exactly which quotes turned into production work.
Dashboard Stats
Your dashboard shows quote counts by status and the total value of accepted quotes. Over time, this gives you a clear picture of your conversion rate and revenue pipeline.
