Reports: P&L, Expenses & Operations
Track your true profit with the P&L report, log expenses, and monitor throughput and printer utilisation with ops reports.
Reports turn your day-to-day activity into a clear picture of profit and workshop performance. There are two, both on the Pro plan: P&L Reports (the money side) and Ops Reports (the operations side). You'll find both under the Sales & Clients group in the sidebar.
The P&L Report
The P&L (profit and loss) report brings your revenue, costs, and expenses together for any period. It pulls revenue from every channel you use:
- Invoices — paid Printforge invoices
- Shopify — completed Shopify orders
- Etsy — completed Etsy orders
- Xero — paid Xero invoices (only when Xero revenue sync is turned on, and de-duplicated against your Printforge invoices so nothing is counted twice)
Reading the Numbers
Four summary cards sit at the top:
- Total Revenue — with a breakdown of which channels it came from
- Gross Profit — revenue after your cost of goods (material, machine, labour, and overhead, taken from the line items on your invoiced quotes)
- Net Profit — gross profit after your recorded expenses
- Gross Margin — your margin as a percentage
Below the cards you can switch between a Chart view and a Table view. The table breaks every figure down per period — revenue by channel, each cost category, COGS, gross profit, expenses, and net profit — so you can see exactly where the money went.
Choosing a Period
Pick a preset — This Month, Last Month, This Quarter, Last Quarter, This Year, Last Year — or choose Custom and set your own start and end dates. Toggle between Monthly and Quarterly grouping. Periods are bucketed in your business timezone (Australia/Sydney by default), so a payment that lands early on the 1st is counted in the right month.
Logging Expenses
Net profit is only accurate if your expenses are in there. On the P&L page, click Manage Expenses to open the expense panel for the current period. Click Add Expense and enter:
- Category — Rent, Utilities, Software, Marketing, Insurance, Wages, or Other
- Description and Amount
- Date
- Recurring — tick this for regular costs like subscriptions or rent
- Notes — optional
You can edit or delete any expense from the list, and filter it by category. Every change flows straight back into your P&L, so your margins stay honest.
Exporting the P&L
Click Export CSV to download the full P&L — every period, revenue channel, cost category, and margin — as a spreadsheet for your bookkeeper or accounting software. A totals row is added at the bottom.
Ops Reports
Ops Reports show how your workshop is running rather than how much it earns. Open Ops Reports to see:
- Throughput — designs and jobs completed per week over the last 10 weeks
- Designs by stage and Jobs by stage — where your work-in-progress is sitting
- Printer utilisation — how many jobs each printer has handled
- Team hours — hours logged per team member this month
- Shipments by status
- Top inventory — your highest on-hand stock items
Who Can See What
Both reports are Pro features. For teams, visibility follows permissions: P&L Reports (which show revenue and pricing) require the View revenue & pricing permission, so a Finance or Owner role sees them while a Designer or Viewer does not. Ops Reports require the View reports permission, which most operational roles have.
Tips
- Log expenses as they happen — a P&L without expenses overstates your profit
- Check gross margin against your target markup; a sliding margin is an early warning your pricing needs a look
- Use printer utilisation to spot machines sitting idle and rebalance your queue
